Workplace Vaccine Policy
Governed by the laws of the State of Wyoming, USA
SyntheStudio LLC is committed to providing a safe and healthy workplace for our employees, contractors, clients and visitors. This Vaccine Policy describes our approach to vaccinations against vaccine-preventable diseases, including COVID-19 and seasonal influenza, in accordance with applicable US federal, state and local laws.
1. Scope
This Policy applies to all SyntheStudio personnel in the United States, including full-time and part-time employees, interns, independent contractors, temporary workers, and on-site visitors to any SyntheStudio facility or client site where vaccination is required.
2. Policy
SyntheStudio strongly encourages but does not generally mandate that personnel stay up to date with vaccinations recommended by the U.S. Centers for Disease Control and Prevention (CDC) and the Advisory Committee on Immunization Practices (ACIP), including:
- COVID-19 (primary series and recommended boosters)
- Seasonal influenza
- Tdap (tetanus, diphtheria, pertussis)
- MMR (measles, mumps, rubella)
Where a client engagement, government regulation, or on-site work assignment requires proof of vaccination, personnel assigned to that engagement must comply with the applicable requirement as a condition of that assignment.
3. Reasonable accommodations
Consistent with Title VII of the Civil Rights Act of 1964, the Americans with Disabilities Act (ADA), the Pregnant Workers Fairness Act, and applicable state laws, SyntheStudio will provide reasonable accommodations for personnel who cannot be vaccinated due to a sincerely held religious belief, disability, pregnancy, or other protected reason, unless doing so would impose an undue hardship or pose a direct threat to health and safety. Accommodation requests should be submitted in writing to hr@synthestudio.com.
4. Verification & privacy
If verification of vaccination status is required for a specific assignment, SyntheStudio will collect only the minimum information necessary (e.g., vaccine type and date). All medical information is treated as a confidential medical record under the ADA and HIPAA (where applicable), stored separately from personnel files, and accessed only by authorized personnel on a need-to-know basis.
5. Leave & paid time off
Employees may use paid sick leave, where available, to receive a vaccine or recover from side effects, consistent with applicable federal, state and local sick-leave laws.
6. Workplace safety measures
Regardless of vaccination status, all personnel must follow SyntheStudio's workplace safety policies, including staying home when sick, hand hygiene, and any additional measures required by OSHA, the CDC, or local public-health authorities during a declared public-health emergency.
7. Non-retaliation
SyntheStudio prohibits discrimination or retaliation against any individual for requesting an accommodation, reporting a concern about this Policy, or exercising rights protected by law.
